Quick answer. When a hearing, filing deadline, or removal concern is urgent, send the most recent notice and decision first. A useful court file separates deadlines, prior filings, evidence, and custody information so counsel can identify the immediate task.

Start with the document creating the urgency

Send every page of the latest hearing notice, judge’s order, BIA notice, or ICE communication. Include the envelope and the date you received it. State whether the person is detained and whether anyone has mentioned a removal date. A screenshot of an online status page alone may omit the controlling instructions.

Use a short cover note: who is affected, what happened, when the next deadline falls, and how the person or family can be reached. Identify the preferred language and the current attorney, if any.

Build four folders

  • Deadlines: Notices, orders, submission receipts, and the calendar.
  • Prior filings: Complete applications, declarations, motions, and responses.
  • Evidence: Identity records, family documents, supporting records, and translations.
  • Custody: Detention notices, bond decisions, transfer information, and criminal dispositions.

Keep originals safe. Send clear copies through the firm’s designated intake channel. Label missing documents rather than filling gaps with guesses. A lawyer needs to know whether something does not exist, was never filed, or has simply not been located.

Explain what has changed

Recent marriage, a new petition, a medical emergency, a new threat, or discovery of a notice problem may matter. Provide dated records and explain how the change relates to the pending case. It does not automatically suspend a deadline.

Ask the firm to confirm whether representation has been accepted and which tasks it covers. An inquiry or document upload does not itself place an attorney on the case or cause a filing to be made.

Frequently asked questions

Do I need the entire file before contacting the firm?

No. Send the urgent notice first and identify what remains missing.

Should I send the same document repeatedly?

Use a clear index and identify new material. Duplicate uploads can make an urgent file harder to review.
